Workday Tip: Step Configuration Placeholder Service step in Business ProcessHave you ever seen a business process step triggered after a step delay, even though its entry conditions are no longer valid?OrIs the approval step automatically approved when the same user has completed the preceding step?The service step "Step Configuration Placeholder Service" in the business process definition may help resolve these problems. The Step Configuration Placeholder Service is a generic step we may incorporate into the business process definition. This step is useful for adding a step delay, custom notifications, or other customizations before or after a step that does not allow certain configurationoptions.Example 1: There is a step delay in the To-Do step of a business process definition. The step should trigger 7 days prior to the worker's end date. If the worker terminates before the step delay, the step is still triggered because Workday assesses the step condition at the time of the transaction (i.e. the worker is regarded active) and adds a 7-day delay. To prevent this, add a 'Step Configuration Placeholder Service' service step before the To-Do step and set the step delay. This will pause the step till the delay occurs. The next step in the To-Do will necessitate the use of a condition rule to ensure that the worker remains active. As a result, when the step delay approaches the date, the service step will be complete, and then the next step condition will be assessed and skipped if it is no longer applicable.Example 2: A business process definition has three steps: initiation, to-do (assigned to the HR Administrator group), and approval (assigned to the Security Administrator group). An HR administrator completes the To Do step. They alsobelong to the Security Administratorgroup, thus the Approval step is approved automatically. To prevent automatic approval, place a 'Step Configuration Placeholder Service' service step between the To Do and Approval steps.Steps to configure<> Navigate to the Business Process definition in the ‘Edit’ mode.<> Click ‘+’ to add stepoType = ServiceoSpecify = Step Configuration Placeholder ServiceDo you use “Step Configuration Placeholder Service” for a similar use case? I have also used placeholders to overcome the Workday limitations with delayed notifications. These will reevaluate when the effective date changes. For example on Onboarding BP we created 2 week before, 1 week before, 3 days before, day before, and day of notifications. Why not alerts? Because we can use the notification designer templates for better branding.

In the older days, there was the Integration step that triggered the generic "Workday" one LOL. This is a much cleaner way to trigger certain custom notifications that require a step delay and all the other goodies you listed.

Thank you for sharing yes this step is helpful we use this on hire which has a delay step forTo do if worker is converted fromIntern to full time condition rule but it still triggers even if they are interns - so we used placeholder services which works

Workday Tip: Can EIB Load be Rescinded?> Hello, Workday. I mistakenly loaded an EIB with the wrong data. What should I do now?> Do not worry, Shishir! Use the "Mass Rescind Business Processes" task to rescind data loaded via an EIB. To retrieve the data to be rescinded, just click on the 'Business Processes Loaded by EIB' option and choose the EIB event.> That's smooth. Workday Tip: Configuration Change TrackerHow do you track changes to your Workday configuration? Compile them in a spreadsheet or Word Doc.A pathbreaking development for the Workday configurators. “Configuration Change Tracker” is a new task that eliminates users needingto keep track of tenant modifications. Running the task will inform users about what has changed and what they may want to replicate in the next environment. It also allows administrators to view who has made modifications to a tenant.Advantages of this report<> Uses a timestamp prompt with "From" and "To" moments to retrieve a list of changes done within a specific period range.<> Separate tabs for “Ready to Migrate” and “Not Ready to Migrate” instances.<> The “Implementation Type” column specifies the type of instance such as; ‘Calc Field’ etc.<> Use “Filtered by Users” to view a list of changes made by certain users.<> The “New Instance” flag indicates newly created objects.<> Provides a list of “Deleted Instances” too. It also includes potential issues, such as missing reference IDs or instances that might not work properly with the web service.<> List changes made using ‘Web Services’ or an ‘EIB’ integration system.<> Provides the audit trail of the changes.<> Previously generated reports can be accessed using the task “View Change Tracker Reports”.Steps to configure<> Simply enable the domain “Configuration Change Management” and add relevant security groups.Points to consider<> Workday recommends to not use this report as the only method for auditing tenant changes because ConfigurationChange Trackerreports only direct changes to objects. It doesn't report changes to processes or other behavioral changes.For instance: A calculated field is changed. The change has an impact on the associated Condition Rule. It also changes the behavior of a business process step and a custom report.Configuration Change Tracker reports only the direct change to the field. It reports changes to the business process step. However, it doesn't report the changes in behavior of the Condition Rule or Custom Report. Viewing the change details in Configuration Change Tracker therefore doesn't always provide us with a complete audit trail.<> The “Configuration Change Tracker”only displays modified instances for Implementation Types that Workday may migrate. In this release, Workday adds Payroll to the new Object Transporter.With 2024R2, Workday can migrate Payroll configuration data and objects from one tenant to another, individually or as part of a configuration package.Attached is a snapshot of the 'Payroll Objects' that may now be moved via Object Transporter.Please note that the "Object Transporter Supported Objects (OX)" report can be used to determine which Workday objects can be migrated using OX2.0. Workday Tip: 2024R2 Rounding Options for FTE ProrationWorkday 2024R2 simplifies meeting rounding requirements for part-time employees. Rounding Rules can now be applied to salary plans and are effective when the employee is less than 100% FTE. Workday Tip: 2024R2 Upcoming Changes for Workday Assistant ChatbotThe 2024R2 release is only a few days away, and we expect some interface changes to the Workday Assistant user experience. Users can presently launch the chatbot in two ways: via the floating action button (FAB) in the bottom right corner and via the global header chat icon on the top right, next to the notification bell and inbox icons.With 24R2, Workday will centralize this process and direct users to the search bar as a central location for help and question-asking.The FAB in the lower right corner will no longer be available, and the Workday Assistant chatbot will only be accessible via the global header chat button. Attached is a screenshot of this experience.The objective is to provide a unified search experience to assist employees in seeking what they’re looking for by integrating Assistant into Search, offering users one place to find things in Workday.Workday intends to integrate Assistant capabilities into Search and eventually phase out the chat interface in the future.Do you use Workday Assistant often? This July has been amazing for me for several reasons.Firstly, Today marks my 1st work anniversary at SentinelOne 😊 I've had a lot of opportunities and learnings over the past year, and I'm appreciative of my leadership for giving me the chance to help our organization get the most out of #workday. Looking forward to many more incredible things in the days ahead.Two, I had a fantastic week in Bangalore last week with the SentinelOne – APJ People team, full of fun, and enjoyed spending time with everyone. Meeting the Leaders and colleagues in person was a rejuvenating experience. Such gatherings tremendously inspire and motivate everyone.In addition, I had the privilege of attending the OneConnect #S1OneConnectBLR event, which was truly a humble experience. Gained fresh insight into cybersecurity.Lastly, it was a pleasure to meet famous cricketer Lance Klusener at the OneConnect event. His insights illustrated how coping strategies and tenacity, commonly observed in sports, may be applied to overcome obstacles in both the personal and professional spheres.The whole SentinelOne - APJ People team, including our People Leadership Divya, Felice, Katie, and Shani, deserves immense gratitude for making this possible.
